Moving Voice and Data Lines

Introduction

If a group of people or your entire department will be moving from one location to another, whether on campus or off campus, the authorized representatives of your department should contact CITES to make sure that all relevant communications facilities are in place and ready to use when the occupants and their equipment move to their new locations.

  • Your group's Telecommunications Unit Coordinator should contact CITES Communications Customer Service to schedule adds, moves, and changes for your telephone lines and new data and voice jack installations.
  • Your group's network administrator should contact the Network Design Office to coordinate your network needs.

This page assumes that you are one of the authorized representatives for the department, and provides a summary of what you should include in your first contact and what kinds of more detailed information will be needed later on in the move process.

First contact summary

Before your move, you should contact CITES with the following information:

Network

At least six weeks in advance, email ndo@uiuc.edu with information about the upcoming move. Your first-contact email should include, at a minimum:

  • Your name.
  • Your office contact information.
  • The department you represent.
  • An estimate of the number of networked computers and printers that you will be moving and how many network jacks they will connect to.

    Note: Iinstallations of new data jacks should also be coordinated with CITES Communications Customer Service, as described below in the section on "Additional details when moving or installing new voice lines."

  • The building(s) involved in the move (where from and where to).
  • The building numbers of any campus building(s) involved, or a street address if one of the buildings is off campus.
  • A target date when the move is scheduled for completion.

Voice and data line adds, moves, and changes.

At least six weeks in advance, the Telecommunications Unit Coordinator for your department should submit an online Telecommunications Service Request (TSR) with information about the upcoming move. (Additional information about the TSR form is located at the Telecommunications Service Request on the Web page.)

The section on "Additional details when moving or installing new voice lines" (below) provides a list of important information to include in the "Details" section of the TSR.

Additional details when coordinating network needs

After you've sent the first-contact email, the Network Design Office will assign a designer to your project and contact you about working out the details of your move. Some of the additional information you will need to work out with your designer includes:

  • The number of new network jacks to be installed, if any.
  • The CFOP account that will be used to pay for any new network hardware and associated fees that may apply.
  • Whether the new location is in an on-campus building or an off-campus building.
  • Any special considerations needed for particular locations, such as departmental firewalls, private networks, wireless networks, and/or subnet changes.

Additional details when moving or installing new voice or data lines

Most of the information that the Communications Customer Service office needs can be included in the TSR form, as described in the Telecommunications Service Request on the Web page. In the "Details" section of the form, please include the following information:

  • The number of new telephone jacks to be installed, if any.
  • The number of new data jacks to be installed, if any.
  • The existing phone numbers being relocated.
  • The current location (building name, room number, and jack number) for each telephone number being relocated.
  • The new location (building name, room number, and jack number if the jack has already been installed) for each telephone number being relocated.
  • The CFOP for billing the monthly, installation, and long distance charges.
  • Any special considerations needed for particular locations.

Note: All existing telephone numbers will be moved with their current features unless specific programming changes are requested.
