CITES Express Email Web Interface: How to Share Specific Email Messages while out of the Office
This page contains information about how to share specific email messages in the CITES Express Email web interface.
This web page is part of an online tutorial series about the CITES Express Email web interface. This tutorial is part of a larger tutorial about Sharing Your Email.
If you do not want to share all of your messages with your designated reader, then the following steps will allow you to share messages from a specific email address or group of email addresses.
1. Log in to the CITES Express Email web interface if you have not already done so.

2. Click on Account Options on the left navigational menu.
3. Click on the Message Filters button at the top of the web page.

example for the condition in which the From: email address
contains uiuc.edu.
4. Under Filter Conditions, you can create filters by using the dropdown menus and text boxes. The fields "From" and "contains" should already be selected. In the third box, enter the email address of the sender from whom you want to forward messages. If you want to forward all email sent from a certain domain, such as uiuc.edu email addresses, then enter the domain name (i.e., uiuc.edu). If you have more than one address, be sure to select "If any of these conditions are met" from the drop down menu instead of "If all of these conditions are met".
5. Under Filter Actions, select the Move to: Inbox radio button.
6. Uncheck the box "Do not apply any more filters to this message if action is taken." (Note: If you do not uncheck the box, your email will not be forwarded to your designated reader).
7. Click OK.
8. Under Filter Conditions, add another filter with the same parameters that you chose in Step 4.
9. Under Filter Actions, select "Forward to:" and enter the email address of the designated reader who will view these messages while you are away.
10. Make sure that "Do not apply any more filters to this message if this action is taken." is checked.
11. Click OK.

Figure 3: Screenshot showing the two filters for moving email to the inbox and forwarding to your designated reader's email account. The
filters are described in Step 12.
12. Once both of your filters are created you should have two filters that read in order:
If all of these conditions are met:
From: contains "sender's email address"(in the screenshot example, "uiuc.edu")
Then: Move to: InboxIf all of these conditions are met:
From: contains "sender's email address" (in the screenshot example, "uiuc.edu")
Then: Forward to: "your designated reader's address" (in the screenshot example, "designated_reader@uiuc.edu")
Do not apply any more filters to this message if action is taken
The first filter makes a copy of the email for your own inbox. The second filter forwards the email to your designated reader. If you do not have your filters listed in this order, then you will not retain a copy of your email.
13. After you have set up forwarding, you should test it. If you set up a filter that forwards all email messages that are sent from a uiuc.edu email address, then you can send yourself an email message from your campus email account. Make sure that your designated reader has received your email, and that you have a copy of that same message in your inbox—if the message is in both places, your filters are set up properly. If you set up your filter conditions for a specific email address, then you could request that the owner of the email address send you a test email message to make sure that your filters work.
Note: After you have returned from vacation, be sure to stop the forwarding from your Express Email account to your designated reader's account. Go back to the Message Filters settings in your Account Options. Delete the two filters by clicking the X under the Delete column for each one.
