Update on Coming Changes in Electronic Directory Data

Over this weekend we will be doing the first update of title in the Electronic Directory (ED; formerly known as PH) from Decision Support's Enterprise Data Warehouse (EDW). This information will be updated for all employees.

The titles in EDW come from what are now called "jobs" in Banner/EDW, and which are essentially equivalent to appointments in the previous Payroll system. We will process more information from these job detail entries than just the titles, but title is the only visible field in ED at this time.

The basic rules we are using for title remain the same. It is a combination of the titles from every active job listed for the employee. If a job is in the employee's home unit, the title for that job is listed as is. If the job is with a unit that is different from the home unit, the title is listed with the unit name following the title.

We have seen a few cases where an employee had a number of job records with the same title in the same unit, due to being paid out of multiple accounts. For this initial run, that title will be listed as many times as it occurs in active jobs for the employee. We will work on changing that so that such multiple occurrences only end up listing that title once, but we felt that it was more important to get the process of updating title information into operation than holding it up for this reason.

I will send another update early next week on what remains to be done with populating ED from EDW for employee information.
