Naming and Creating Resources
This page contains information about how to name and create resources in Oracle Calendar.
In Oracle Calendar, resources are objects that are shared among users. For example, some common resources at UIUC include meeting rooms, overhead projectors, digital cameras, parking spots, and hang tags.
Creating a resource
To create a resource, you'll need to request a resource account, which costs $2 per month. To request an account, contact your departmental Oracle Calendar coordinator. If you're not sure who your departmental Oracle Calendar coordinator is, ask your business office or email consult@illinois.edu.
How are resources named?
Resources need to be named such that users can identify them easily, yet stay within the 31-character limit set by Oracle Calendar. To help with this task, these guidelines have been adopted.
Resource names should indicate the following information, when available, in the following order:
1. the department/unit that owns or manages the resource
2. any subgroups, if important, to identify the resource of that group (each separated by a "-" )
3. a description of where the resource is located, if important to identifying the resource
4. a description of what the resource is
Examples:
- A conference room located in L532 Digital Computer Lab that is managed by CITES would be named CITES-L532 DCL-Conf Rm.
- A digital camera owned by the CITES Network Design Office (NDO) would be named CITES-NDO-Dig Camera.
- A vacation schedule for the CITES Unix Systems Hardware group (USH), which is a subgroup of Systems and Technology Services (STS), would be named CITES-STS-USH Vacation.
Scheduling a resource
Resources are scheduled just like people: through the People/Resources tab for new events.
Note: The Location box on the General tab of the new event window is text. Entering a location in this text box does not add the event to the resource’s agenda.
- Create an agenda entry (see Creating Events for help).
- Click on the People/Resources tab.
- If you know the name of the resource, type res: followed by the resource’s name.
- To search for resources, click on the magnifying glass button -> Resources tab -> Search by Resource -> Search. Once you've selected a resource, click the Add button, and then click OK.
- Click OK to save the event.
View resource agendas
To view the agenda of a resource:
- Open an agenda by clicking File ->Open -> Agenda... .
- If you know the name of the resource, type res: followed by the resource’s name, and click OK.
- To search for resources, click on the magnifying glass -> Resources tab -> Search by Resource. You can search for either the resource name or the resource number. Once you've selected a resource, click OK to open the agenda.
Owning a resource
When you are the owner of a resource, you can log in to the system as a resource. When you log in to Oracle Calendar as a resource you will only be able to
- modify the access rights settings
- change the password for the resource
Whenever you need to work as a resource, you should do so as a designate.
To work as a designate for a resource, you must sign in as the resource, grant yourself the necessary designate rights, and then access the resource’s agenda as a designate from within your own agenda. For more information, see Working as a Designate.
