Calendar Services

Many of Oracle Calendar's customizable features can be accessed through the options dialog box. To
access the options:
- For Windows, click Tools -> Options.
- For Macs, click Options -> General.
In the Options screen, access the various settings in the left menu and follow the directions below to set your calendar preferences. For assistance with offline and address book settings, see Working Offline and Using the Address Book.
Agenda
Choose the display settings for your agenda pane.
- Click on the plus (+) sign next to Agenda, and then select Display.
- For the Display hours, set the hours you normally work, and choose Interval at which you wish to schedule meetings (from 5 to 60 minutes).
- Choose which day you wish to appear first under Start week on, and then check the boxes next to Saturday and Sunday if you wish display them.
- Beneath Display, choose the event details you wish to appear on the agenda pane. Multiple icons will show you the most information about an event, including whether it has an attachment and whether you have accepted or declined a meeting.
- Display/Print allows you to choose whether refused and unconfirmed meetings are displayed and/or printed.

- Next, click on Agenda -> Colors in the left menu.
- Under Color Settings you can choose to categorize your meetings by:
- Importance (red, yellow, and blue): Meetings are classified from highest to normal to lowest
- Attendance Status (green, red, and blue): Meetings are categorized as accepted, refused, or unconfirmed
- Ownership (blue and yellow): Meetings are labeled as to whether you own them or not
- To change the colors used to label meetings, click on the on the color swatch to the left of the description, choose another color, and click OK.
- Click OK to apply your changes.

In-tray
Choose the range of dates you would like to view for accepted, refused, and proposed events.
- Click on the plus (+) sign next to In-tray, and then select Accepted or Refused.
- For each of these settings, choose :
- Show Entries dated from today to the next, and set the number of days, weeks, months, or years for which you would like to see entries.
OR
- Show Entries dated from today onward
- Click on Sent Out, and choose:
- Show Entries dated from/to, and set the range of dates you wish to display.
OR
- Show Entries dated from today onward
- Click OK to apply your settings.

Entry Defaults
In this section, you will choose the default settings for new events, including importance and access levels, as well as reminders.
- Click Entry Defaults -> Meetings.
- For Importance level and Access level, choose Personal, Confidential, Normal, or Public.
- For Default Reminders, choose Off, Display upcoming for an amount of time, or Remind Me by email and/or popup an amount of time before start.
- Next, click Entry Defaults -> Tasks.
- For Priority choose a label between 1 and 9 or A through Z.
- For Access level, choose Personal, Confidential, Normal, or Public.
- For Due Time Reminder and Start Time Reminder, choose Off, Display upcoming for an amount of time, or Remind Me an amount of time before start.
- Then click Entry Defaults -> Day Events or Daily Notes.
- For Access level, choose Personal, Confidential, Normal, or Public.
- For Default Reminders, choose Off, Display upcoming for an amount of time, or Remind Me by email and/or popup an amount of time before start.
- Click OK to apply your settings.
Remember: All Oracle Calendar users can see Public events.

Scheduling
Set working and nonworking times, and choose when you receive notifications.
- Click Scheduling -> Hours.
- Under Normal Hours, select the start and end times of your normal workday.
- Beneath Extended Hours, choose any hours you are available outside normal working hours, if any.
- If you work the same hours every day, click Apply to All.
- If you work different hours on different days, click the down arrow next to the day of the week, and set your hours for each day of the week.
- Check the box next to Gray outside normal hours. This will visually show you and others when you are not working by showing your nonworking time in gray.
- Next click Scheduling -> Receive Notification.
- Check the boxes next to the options you want to enable:
- Allow others to email you of new entries by email
- Show popup window when you have new entries
- Check for new entries every (you set the number of) minutes
- Click Scheduling -> Send Notification.
- Check the boxes next to the instances you would like to send email notifications for.
- Click OK to apply your settings.

General
Apply settings that allow you to search for people using their unit or organizational affiliation, show/hide the in-tray at startup, and change your time zone and date formats.
- Click General -> Formatting.
- Under Name format check the boxes next to OU1 and Organization, which will allow you to search for users by their departmental affiliation. Choose a display format for user names from the drop-down list.
- Choose how resources will display under Resource format.
- Check the box next to Display embedded help on all dialogs if you would like on screen assistance using Oracle Calendar.

- Click General -> Date and Time.
- Choose the short and long date formats, as well as the time format, you prefer

- Click General -> Time Zones.
- Choose a time zone from the drop-down list.
- Select either Change time zone for this session or Save time zone for future sessions.
OR
- Click Restore time zone for this session or Revert to default.
- Click OK to apply settings.
- Click General -> Startup.
- Under Agenda Startup, choose Open new session with exited or saved state.
- For In-tray Startup, select Open In-tray, Do not open In-tray, or Open In-tray if it was open at last exit.
- Click OK to apply your settings.
